Hi,

Is there a way that a specific email template always follows the same route and will not be send to the next recipient without the current/previous recipients approval?

For example: a document is created in Notes which is automatically send to our unit head. After his approval, he is doing something with the document, this document needs to be send to the financial department and then to other departments....

Typically, the manager will need to click a button to get the doc into the next status in the workflow.
The button should therefor contain the necessary code to "send" the doc to the next person in the workflow.
Unfortunately, there is no default code for this, since every application is different and no two conditions are exactly the same.
In your example, I'd guess that the unit head and financial head are defined people in the workflow. So, when the unit head clicks the button, the code should do all that is necessary for the doc to get to the next step, then send a notification to the financial head who'se name should be defined somewhere.
I do hope you are using a database with mail notifications for this, and not just an e-mail to be sent hither and thither.
If the latter is the case, you'll need to devise a new form and control the workflow on that form. The form will need to be included in the mail dbs of all individuals likely to use the functionality.
Of course, that means modifying the mail template, something that I am very strongly against doing for a simple workflow application.
I suggest you review the requirements of your app and define a simple Notes db for handling them (if that is not already done).
