We have some one-time items that we added to the Inventory Module that we would like to delete from the Inventory List. These are items that we special order for sale to customers, and each has a unique item number. When we attempt the delete, for some of the items, MAS 90 tells us that it cannot be deleted because the item was found on a PO. The PO is complete in the system, and the quantity on hand is '0'.

What is preventing the delete?

You will get this message when deleting an item using inventory maintenance if there is a quantity on purchase order for the item.

You can do one of the following:
(1)
Pull up the item in inventory maintenance
Click on the "Quantity.." button
Pull up the warehouse (if you have your inventory parameters set that you only have one warehouse, warehouse 000 will automatically get displayed)
If you have multiple warehouses, cycle through them using the browse button until you find the one that has a quantity on purchase order.
Click on the FIX button*, and change the quantity on PO to zero.
You should now be able to delete the item.

*NOTE: you will not see a FIX button on this screen if you do not have supervisor rights. Supervisor rights is assigned to a user code in the user code maintenance screen (located under the library master module)

(2) Rebuild P/O sort files using the Rebuild Applicatio Sort Files utility on the Library Master/Repair menu. Make sure to choose Yes to recalculate inventory quantities. It is a good idea to make sure you have a good, working backup of the system before doing this (although I've never had a problem). It is also a good idea to run this during an off-peak time (weekend), as this process could take a while if you have a lot of purchase orders.
