Hello,

I am building a Crystal Report using ACT! data. The data in ACT! is complete but when I use the select expert I am missing some data from the ACT! database. When I access store names 16 store names are not there nor can I type them in and have them work in the report.

Any thoughts?

Good question. Let me see if I can explain. In ACT! I have 32 store names under the field name "Preferred Store Name #1." When I access the information in this field name using Crystal Reports 8.5 16 out of the 32 store names are missing. I tried typing the missing store names using the select criteria expert to see if I could still pull the store information even though the store name was not in the list but this did not work either.

If what I just typed still doesn't make since then please let me know and I will definately try again.

Another good question. I tried typing the missing store name in the Select Expert because the store name was not in the list of stores listed in the drop down list for "Preferred Store Name #1."

Does that help?
 
Are you trying to select certain store names out of all store names? Instead of using the dropdown list in the report expert, you can go to report->edit selection formula->and type in the names you want manually, as in:

{table.storename} in ["Boston", "New York","Rome"]

Great idea and I actually tried that and the report did not pull any data concerning the store name that I typed in and it didn't even list the store name in the report itself.

Create a report with NO selection criteria,and group by store name..supress the details and run the report..do all the store names you expect show up?

Ok I did what you recommended and the stores did not show up. Ugh.

Does that give you another idea?
 
Update:

Upon further inspection, 3 out of the missing 16 are in the report when I don't use the Selection Expert. I promise you I am not crazy. I just quadruple checked that they missing stores are in deed in ACT! and that they are NOT listed in the drop down list in the Selection Expert and they are NOT listed as part of the group criteria when I don't use the selection expert. This is werid.
 
Are you sure that these stores are held in the database in the same format as the records you are getting...?

I don't know much about ACT! so it may seem like a dumb suggestion, but in other contact managers I've worked with you can have primary and sub-contacts in different tables.

EXAMPLE : Primary Contact table holds the details of the "Holding Company" that owns three stores. Sub-Contact Table holds the details of each store location.

In that case, you may have some stores that are stand-alone that are in the Primary Contacts - but other stores that are owned by one "Holding Company" that are in a different table.

 
If you are using multiple tables, you would need to use a left join FROM the table containing the store names to other tables without using any criteria on these other tables. It might be a good idea to report back with the tables you are using and explain the joins and the fields you are joining on. Also please supply the record selection formula you are using.

Hi LB,

I do not have any joins because I am only using one database. I am using the record selection "is one of" for the "Preferred Store Name #1" and I am not using any other record selection formula for this report. It is a very very simplistic report expect that I can't get all the data to pull!
 
Hi MJRBIM,

Not a dumb suggestion at all. We looked into that and it is not coming from a sub contact. All the fields are in the same table.
 
Have you tried verifying the database? Database->verify database.

NO. Three of the missing stores show up but the remaining 13 are still missing.
