Create rule to auto-accept appt., and auto-delete any conflicting appt

I have a calendar setup with time slots set as 'tentative' and the subject
'open.' When someone wants to send an appointment for that time slot, I want
it to automatically accept the appointment (which I have working), and also
delete the tentative / open appointment. I can't get the delete to run
automatically. I have to run it manually right after the first appointment
is accepted.

The rules I have set up are:

Auto-accept new appointments
When event is:
*** New Item
Items are:
*** Received, Posted
Item Types:
*** Appointment
Define Conditions:
*** Subject does not contain open
Conflict exists:
*** Does not matter (tried both ways, doesn't make a difference)
Actions:
*** Accept
*** (Tried Stop Rule Processing, but it didn't make a difference)

Delete conflicting / open appointment:
When event is:
*** New Item
Items are:
*** Received, Posted
Item Types:
*** Appointment
Define Conditions:
*** Subject contains 'open'
Conflict exists:
*** Yes
Actions:
*** Delete / Decline
*** Empty Item
*** Stop Rule Processing

Hi,

If I understand your question correctly, there is no way to do what you are looking for. The issue is that a rule that is triggered by an incoming message can act ONLY on that message and nothing that is already in your system.

Rules that act on existing items can only be done on other basis (like User Activated, Startup, Shutdown, etc...).

However, I think you can accomplish what you need by using a combination of these 2 approaches:

1) Create your first rule to automatically accept all new appointments.
2) Set up a new rule as such:
Event=Exit
And and items are: Received and Posted
Item Types: Appointment
Act on Items where items where Subject=OPEN
Appointment Conflict Exists: Yes
Actions are: Delete/Decline

In this way every time you close GroupWise, the client should automatically delete any appointments that have a subject of OPEN and that conflict with another appointment.

The only issue with all of this is that your client will accept ALL new appointments, even if they conflict with another legitimate appointment.
