Hi, a coworker upgraded to Outlook 2010 and wants to create a contact group in her boss' contact folder. She gets as far as creating the group but then she cannot add members from his contacts. Is this no longer possible in 2010? She used to do it in 2007. Thanks!

Thanks, noCalAdmin. She is an Owner of her boss' Contacts. She is not a Delegate.

I've just been told by someone that it is not possible to use another user's contacts as an Address Book (which is what she needs to be able to do)...

But you can write code to copy another person's contacts into an address book in your folder.

if she has both mailboxes associated to her profile through Exchange she should be able to copy and use a list or contact from the secondary mailbox and contacts. I have 3 mailboxes associated to my Outlook 2010, using the From feature and using the contact required to use based on the infromation I am sending, I use 3 different contacts this way. Delegate mailbox rights so that she can attach her Outlook client to the 2nd mailbox and use the contacts that way. I will say the 2 other mailboxes I use are Group IT mailboxes and not a personal 'bosses' mailbox.... but an option perhaps to look into

If the contact list is in a shared personal folder, it is handled differently. You can see the contacts and open the list and look at the names, but you can't just use the list in the 'To' field and have it send... does not work. If you copy the contact list to your own personal folder that is identified as an address book, you can do it.

I used a lot of trial and error (with the associated frustration)to find that out.

If you right click on a shared folder in the Contacts Navigator Pane and select "Properties" you will get a dialog with three tabs. If you do the same on one of your own folders, you get a dialog with 8 tabs, one of which is 'Outlook Address Book.' Click that tab and you will see a checkbox labeled 'Show this folder as an e-mail Address Book.' That has to be checked and unfortunately that is not an option in a shared folder.

If you copy the address list from the shared folder into a personal folder with 'Show this folder as an e-mail Address Book' checked you can then reference the list and use it in 'To' or 'cc' or bcc.'

As I have noted before, Outlook is a strange bird sometimes.

Thanks for confirming what I was seeing. The user will continue to copy her boss' contacts to her folder and then update his Contact Group (CG) with her contacts. The only downside, I believe, is the lack of a live link between his CG and her contacts. So he can't double click on a member of the CG and open its contact card. Nor can he click 'update now' and have it work.

We can call this thread complete.
