Copying notes from one activity to another

Often our field staff make notes in the Notes box of Scheduled Appointments before completeing them. Office staff often want to copy these notes to the forecasted sales activity. We copy and paste these rather than typing them out long hand again. These copied notes don't appear on the Forecasted Sales report, but hand typed ones do. Anyone got any ideas? We don't allow the field staff to make any changes to the Forecasted Sales activity.
