Color codes

I'd like to have the background color to the names in my database form change color to reflect different values of where they work, which department they are assigned and where they live.

I.E. Color is Red when they are assigned to our department and work in a local office, but live in another state outside our region.
Color is Blue when they live in the region, work in the region and are assigned to our department.
Color is Brown when they are assigned to another department, but work in and live in the region. etc....

1. Where do I put these color codes and how.
2. When the color changes on the screen, how do I get a text box to appear to let the viewer know what the color change means? Is that possible?

There is "conditional formatting" in Access. But you can have 3 settings plus the one default. See help file for more.
