Change Night Service Mode mailbox?

New to this system- original caretaker retired and now it's my responsibility...
System, as near as I can tell is:
Meridian Northern Telecom M8X23-DS

Nortstar Flash Nortel NTAB2455 Flash 2 Ch. H/W

card installed: Nortel Flash NT5B7

Phone service is VOIP. 4 lines. All phones seem to be assigned into a pool (Line Pool Access: A:Y).
Line assignements are 002,003,005,006 (due to lightning power surge taking out some ports years back).
Says Line Data Prime Set is 21 (which is also an internal DN, which confuses me as some settings seem to indicate 21 as the pool?)

Anyway, near as I can tell, voicemail is set up on DN 26 as the overnight general mailbox (all calls go into that mailbox. They want to set up DN 22 as the overnight mailbox now. DN 22 mailbox is not even used or set up yet.
So, how to change the overnight mailbox from 26 to 22?
Also, I've read of a "General Delivery" mailbox here
Could this really be the General Delivery mailbox instead of DN26 personal mailbox? If not, is it possible to make it a General Delivery Mailbox that anybody can check from any phone?

Go into VOICE MAIL programming and check what DN the General Mailbox (10) is associated with.

Thanks but how do I get into Voicemail programming? I assume Feature 983? It asks for the System Coordinator number and password. How do I know what that is? I assume the mailbox number would be my own since I have the phone that the previous admin had (DN #32) but have no idea what the pass would be...?
 
Never mind. Figured that out.
So the General Delivery is #26 (same as extension whom checks it) and it needs to be changed to 22. Is this fairly straight forward? Just change 26 to 22 for the mailbox extension (leaving the mailbox number alone or does it need changed too?)? The woman who has extension 26 wants her own voice mail set up after it's changed so I need to change both numbers, right? Then I help her set up her personal voicemail on 26? Does the voicemail have to be set up first on 22 before the general delivery is moved there?
Sorry for all of the questions; just trying to make sure there are no problems when I actually do the switch or the company receives no messages overnight and I'll hear about it! LOL
 
If 22 has a mailbox then delete it
Then change mailbox 10 to be with 22 instead of 26
Then create a new mailbox for 26

One more question. In night service mode the system now tells the caller that the mailbox has not yet been initialized before playing the original outgoing message. Is there an easy way past that? Thanks a bunch!
 
What do you mean by "outgoing message"?
A message is played for those calling out?
or do you mean the Auto Attendant greeting?

Night service is controlled by the phone system, all it would do is tell the DN of voice mail to answer.
This DN must match the DN found in F985.
Remove all other DN's if service modes is to only tell voice mail to answer calls right away.
If somebody created a mailbox with the same number as the DN of vmail (F985) then delete it and any other unused mailboxes.

If a mailbox is not initialized then initialize it or it cannot take messages.

I suppose I mean automated attendant? By "outgoing message" I mean the message a caller hears that calls in (outside line). It was a custom message recorded by the previous operator who took care of the general delivery mailbox (her voice-her message)... Right now when an outside caller from the outside phone lines call, after 3 rings, the calls are sent to dn 26's mailbox, which was the original extension number for general delivery (she was the original caretaker of general delivery mailbox)?
I assigned general delivery mailbox (mailbox 10) to dn 22 (the extension we want moderating the general delivery now) but when someone calls they still get forwarded to extension 26's newly set up personal voicemail instead of extension 22 (with assigned #10 general delivery mailbox). I'm sure it's a simple setting I'm missing somewhere.

Oh, and for whatever reason I can't seem to access operator status. The previous coordinator seemed to have changed the password. He has marked down in the book that it's now 1954 but that doesn't work nor does the original pass (operator).
How do I reset that?

P.S. It no longer says the "mailbox has not been initialized" anymore to outside callers calling in... Not sure what happened now?

Ah, I keep forgetting things to add! Edit Edit Edit! LOL
Anyways, the "DN found in F985" is 39 (flash mailbox number).

Ok if switched 10 to 22 then you might need to play with the Call Forward No Answer timers.
If both 22 and 26 have lines on them assigned to ring and the Call Forward No Answer are both set to 39 then you need to adjust 22's ring count to 3 and 26's ring count to 4 as an example.

The new user at 26 probably initialized their new mailbox.

So Call Forward No Answer is supposed to be set to 39? I was thinking 39 was personal voicemail (haven't changed it although I was thinking of changing it to 10 and see what happens), just noticed it was set to 39 and wondered about it...

That got it! I think it's working like we wanted! Call Forward No Answer Timer was the problem! Thank you very much!
 
New problem. <sigh>
I noticed the original general mailbox administrator left her phone slightly ajar with line 2 tied up. For whatever reason that changed the status quo. When her phone is in use (a line activated and in use) the incoming calls go to her mailbox *again* with only one ring happening. What am I missing now? Please? Thanks!
 
Forward Busy, that's the next choice after FNA.
That setting should be turned off on any set that acts as a reception set (answers inbound calls).

Wouldn't turning off FNA or Forward busy disable her voicemail redirect? She definitely wants voicemail! There are four, maybe five phones that are receptionists sets; at least one of them has voicemail with both redirects turned on and never had a problem.

To recap:
-Moved General Delivery from ext 26 to 22 (22 never had voicemail set up anyways).
-Turned on Forward Busy and Forward No Answer for 22 & 26 (both set to 39-voicemail).
-Activated Voicemail for set 26 after transferring general delivery to 22.
-Changed FNA delay timer from 3 to 4 on set 26.
That fixed the problem of general delivery going to ext 26 instead of the desired 22, until....
Today set 26 was left on the hook on line 2; for some reason the system says, "well she's available, let's just send calls to her!"

Perhaps I just don't understand as much as I thought? LOL... Can you give details please?

Oh, forgot to mention this is still in night service mode I'm referring to as I think the ladies always answer the phone before it goes to general delivery during the day (unknown for sure about during the day).
 
Well I didnt say to turn FNA off.

Fairly simple

FB means Forward Busy
-if it is set to the DN of voicemail then anytime that user is on the phone the inbound call will go to the mailbox
-if it is set to the DN of another set say X30 then anytime that user is on the phone the inbound call will go to X30

The same rule applies with FNA Forward No Answer, the only difference is you can set a ring count before that rules kicks in.


A normal setting:
X21
FNA to the DN of vmail - so call will go to the mailbox based on the ring count
FB set to NONE so that they can except a second call

A setting where some people cannot or do not want to take a second call:
X21
FNA to the DN of vmail - so call will go to the mailbox based on the ring count
FB set to DN of vmail - so call will go to the mailbox right away when busy with another call

Any set that is playing reception make sure the FB is set to NONE.
Any set that is playing reception make sure the FNA ring count is greater then the one that needs to take the messages (general mailbox).

Ah, I see, [2thumbsup] I think...? I'm at home right now so I can't do diddly. [lol]
So I need to:

1. Turn off FB on all front office phones (ext 21, 23, 24, 26 and maybe 25 I think?) except 22 which is attached to general delivery (22 is also a receptionist station)?
Even on the general manager's extension (24)? I need to turn off her FB (even though I seem to remember it already being turned on when I started this project with no ill effects all these years)?[banghead]
2. Adjust the FNA delay from 3 to 4 on all phones except 22 (which will remain 3)- even the general manager's extension as well; again, I believe they were all 3 when I started which had worked well for years before the switch?[banghead]
3. I still really don't understand why when her (ext 26) phone was in use the system sent messages directly to her phone on the first ring. Not the second or third or fourth but first. I still don't get that?...[ponder]

My apologies- as usual you are correct! I kept thinking the general manager's ext. was set for FB to voicemail but I was wrong! Made changes you suggested and all is good now! That worked!
