callers getting mail box full message

have the 4 port stand alone merlin mail system.the complaint imm getting is that callers SOMETIMES get the message that the mail box is full when trying to leave a message,the owners of the mail boxes swear that the boxes not full,was out on repair and could not duplicate the problem any ideas??

You will get "mailbox full" messages if the total storage time for the voicemail is reached. All it takes is a couple people who don't clear their messages out. Check the COS for the mailboxes and reduce the storage time for those people who don't need that much. Then they will get mailbox full messages.
Check for mail boxes that don't belong while you are at it. You may have outsiders hijacking that system if they hacked it.
The bigger stand alone systems will often automatically kill old messages after so many days (administrator set).

Like Chris said, make sure as well that you don't have any "extra mailboxes" that are getting messages. Sometimes you will have voice mails that have only 20 users, but 100 mailboxes. These extra mailboxes sometimes will get a message mainly due to a caller selecting the wrong box. After time they eat up storage. A good rule of thumb is to delete any boxes that currently are not needed.
 
If you notice that you are getting the "full" message on only certain mailboxes, you may need to delete the mailbox and recreate it. Before you do that, however, make sure that the full mailbox owner has deleted his old messages, not just listened to them. Some folks get the idea that if they listen to a message, and the light on their phone goes out, then that is all they have to do. TipHelp@charter.net
 
If this is an older VM system, it is probabably not Y2K compliant, and the problem usually occurs after any type of power interuption, and clears up when you correct the VM's date and time (at least until the next interuption). If this is your cause, the only cure is to keep resetting the time or getting a new VM system.
