How do you move calendars from one person to another using Domino 5?

Actually, you do not move the calendar. You need to move the documents (meetings and other scheduling documents) that the calendar uses to set itself up.

What exactly is your situation ? Are you scheduling in bulk for a newcomer, or are you trying to recreate a schedule for a lost mailbox ?

Thanks for replying to my thread. My situation is that I have recenlty started a new positon at a company that uses Domino 5.

I need to move a calender from one persons account, who has left the company, and pass it onto another member of staff or into a group calendar. Finally I can delete the persons account.

Do you know of a way to do this? It is very importnat that I do not loose any information from the calender.

You must understand that the "calendar" is simply a view of meeting documents for the person. You could try copying the documents from one mail db to another, but I think the simplest thing to do would be to simply give access to the mail box of the person who left to the person assuming the duties of the employee that left.

In a short time, the meetings concerning the person that has left will be obsolete, and the new person in charge will have the meetings in his mail, so they will show up in his calendar.

That does not prevent you from putting the departed person's Notes name in the Refuse Access list on the server, in order to ensure proper security. And, obviously, management should control the contents of the mailbox and remove anything not pertaining to the job at hand. No use having personal correspondence lying around.

Thanks for all your help and advice with this problem. I have given another memeber of staff access to the mail box of the person who left.

What is the best way of stopping the mailbox of the person who has left receiving e-mails? All I can think of is to delete the mailbox, with the option of "Don't delete mail files". Would this allow the calendar to remain, no e-mails to be sent to the mail box and the relevant ot carry on using the calendar.

You have the right solution. Doing the delete ensures that the ID file corresponding to that employee's entry is invalidated, which ensures proper security for the company's information.
Of course, you need to check the appropriate option, as you have stated, to keep the actual mail file without allowing any more mail to come through.
You might want to check that the ex-employee's hierarchical name is in the Deny Access field on the server document before you do the delete . . but that may be considered slightly paranoid.

Be aware, though, that mail can still be sent from the deactivated mail file, unless you set access permissions to Reader.

Another, less efficient, way of doing things would be to erase the mail file path from the Person document and enter the name into the Deny Access on the server document. This should work, although in theory it could be considered sloppy administration and leaving a loophole. After all, the person being gone, there is no reason for his name to be showing up in the NAB anymore.
