"We did develop the email employee complaint procedure. Our IS guy developed a way around the identity issue by setting up a user called "Anonymous". All employees are given "proxy rights" to this user. When someone sends an email from this user it will show in the Audit Committee mailbox as being received from user "Anonymous". Our GroupWise email system has some options that allow us to set the "Anonymous" user so that a "sent" file is NOT created when someone sends a message. That way anyone else accessing the Anonymous user will not be able to see any previous messages sent. We also set the Anonymous user so it can not accept any incoming email. That way if the Audit Committee member who picks up the email accidentally replies to it, it will be blocked and bounce it back with a message that the intended user does not accept emails."
