Aloha Clock-In 'Allow time for Transaction'

Hi All -

Aloha QS 6.1..

I have my labor clock-in set to allow 5 minutes early, 15 minutes late. There is also a setting for Allow Clock-in Transaction time.

Here is the problem -
Employees arrive 20 minutes late and need a manager to clock-in. Manager is busy/not available so the employee starts work. Eventually employee and manager go to terminal and clock employee in, however the employee states, "I was only 15 minutes late", not 20, so the punch is edited to the 15 minutes.

I thought that the first time the employee tried to clock in would be the time the system would record. It isn't.

I also thought that the 'Allow transaction Time' setting would let the employee start the clock-in, get the manager and complete the clock-in, so long as it is within the time limit.

Can anyone help me understand how this works or avoid the problem I described above!

I haven't done much in 6.1, but I assume much hasn't changed on this since 5.3.

Allow Transaction Time is the time allowed for the employee to clock in, from the moment the manager approves the clock-in.

So for example: Empl is 20 min late. The manager doesn't have to go to the terminal with the employee. The employee can go get ready for shift, and the Manager can go to a terminal and allow clock-in.

If the Transaction Time is set to 10 min, the employee has 10 min to get their butt over to a terminal and clock in before the manager has to approve it again.

Unfortunately, the system does not automatically record the clock-in at first clock-in attempt. This is actually not a bad design since in most establishments, late employees should be checking in with the manager anyway.

If the manager is too busy to allow clock-in right then, then I say it's the manager's responsibility to note the time so he/she isn't screwed by said employee later.

It should be as easy as this: Employee tries to clock in. It says need manager approval. Leave it on the screen, grab manager, manager swipes card and moves on. Employee completes clock-in. Then, manager disciplines employee for taking him/her away from whatever important work there was. Employee is eventually fired and others learn not to be late and the manager never gets interrupted again.

I know, perfect world... :)

There are so many legal ramifications here, there is no way an employee should ever be allowed to work off the clock. If you ever had to deal with California labor laws as an example, actions like should never be tolerated. Maybe in a small mom-and-pop type concept this is thought to be ok, but not in a larger corporate environment.

Besides, managers adjusting time is not something you want to see alot of, especially with the possibility of a manager that could be shaving time. Unfortunately to see which manager may be making time adjustments, you'll have to open the ADJTIME.DBF (MGRNUMBER Field) as Aloha reports only show time adjusted, not who did the time adjustment, but the info is stored in the ADJTIME.DBF file.
