Aloha Change Password / Require Mags Not Working 1

These are the instructions we give out to our operators and store support employees to assign magnetic stripe cards for logins if the store is having issues with the 4-digit employee numbers are being misused.

Operations Manual said:
1. Log into the floating logo screen with the number of the employee you want to assign the card to.
2. Go to employee functions and press the Change Password button.
3. It will prompt you to Enter New Password. Swipe the card.
4. It will prompt you to Re-enter the Password. Swipe the card a second time and the card is assigned.

Their old number will still work, however, so if you want to prevent them from using their numbers, there will be additional steps:

1. After the swipe has been assigned, hit the Change Password button again.
2. Assign a new 4-digit number, and enter it a second time when prompted.
3. This password appends to the employees number. So if their original employee number (the number assigned to their record in Employee Maintenance in Aloha Manager) is 1234, and you enter a new password of 9876, the employee will not be able to log in as either 1234 or 9876, but rather 12349876. So if you do not tell the employee the new four digit password, it effectively disables their old number.

Unfortunately, I have run into a store where these instructions do not work.

Assigning swipe cards is no problem, but their 4-digit employee number still works. If I go through the Change Password process, it does not appear to do anything. It doesn't append the new 4-digit password to the old employee number, nor does it change their password. The 4-digit employee number still works just fine, which defeats the purpose of assigning swipe cards. I have tried checking the box "Must Use Mag Cards" for employees in the Employee Maintenance section of Aloha Manager, and have then refreshed Data, and the 4-digit employee number still worked. I double-checked to verify that the MAGONLY column of the EMP.DBF was being updated in BOH NEWDATA and DATA and the DATA folders of both terminals. Still, the 4-digit employee number is working just fine for logging into Aloha.

Has anybody ever seen this happening? I'm not sure if there's anything else to try before reinstalling Aloha completely. Thanks for any help.
 
Check maintenance\store settings\security\POS password settings, make sure the password is set to required. You could also check the data\newdata INIs, the variable is PASSWORD=, and the options are OPTIONAL, REQUIRED, and OFF.

Thank you so much! That was exactly what was needed. The Password option was set to off. This was the first time I've run into it so I didn't know where to look. I set it to optional for now since that still allows most employees to use their number but for the managers and shift leaders they can use the mag card checkbox in Aloha Manager.
 
Another thing to check, which I ran into at my store, is that the POS Password Settings tab under Security in the Systems options folder has the Employee Number set to the correct amount. We use 3 digit numbers and this was set to 4, so passwords didn't work like we thought they would. They system assumed we would enter a 0 before the 3 digit log-in.
