Advice required please Technical spec doc

Hi, i have been doing a bit of project management around voice and data for a while now. I am currently working on a project to look at, test, and buy video conferencing equipment for my organisation. I have narrowed the field but my IT Director now wants me to write a technical (or maybe functional) spec to give to the VC vendors, outlining our requirements in order for them to come up with solutions for us.
This is not something i have done before so could anyone give a few pointers or recommend a decent template etc ?

I believe what you need is a RFP, Request For Proposal. You state what you need to happen (specs) and they reply with a proposal and a price, or options and prices. Search RFP for more info.
