Hi all,

We are still using ACT6!.
We have 4 people using a database and I want to make it so that users can only see their own records.

The only way I can see to do this is to make allof a particular users records private.

Is there a way to globally make all records assigned to a particular user private to them. Or does it have to be done one by one.

PS. If anyone knows abetter way to make all users records private to them only please let me know.

The problem with private records is that you can't report on all records... even an administrator won't be able to see the data for those records.

You can use Edit | Replace to make all records (except for User My Contact records private or you could set up synchronisation... have each user have their own database with their own records an sync to a central database for a manager to be able to report across the database.

ACT! 10 Premium product has the option to set Limited access... so the Manager could see all the records and each user could just see their own. This would be the best choice

Thanks for your answer Mike.
I see what you are saying about the private records...
I'm going to keep it all public as users need to check incoming calls to see if they already exist on the database.

Do you know if there is a way to globally change a field.

e.g. I have an empty field - user 15
I want to do a look up and make user 15 a certain value for all records in the lookup?

Thanks Mike,
Sorry I didn't get that the first time!
I was hung up on thinking you needed something to replace when actually you can replace blank with whatever you want for any lookup you select.
