I had accidentally set one of the phones to appear and ring instead of just ring. Fixed it and no more issues.
(Also I did show them the transfer softkey but it was still nice to fix the issue so no other buttons are taken up).

Its the phone that external calls come in on. When the phone rings any of the 4 people in the front office answer it. When he is on the phone though its hard for the other 3 (specifically the 1 farthest away) to hear it. He is on the phone a fair bit because it is also his internal line.
