Setting up a printer to work with Continuous / Computer Held Stationery

NT MACHINE

1. Paper Set up

For an NT machine, set up the paper as follows: If the printer is networked, make sure that the paper is set up on the Server machine. This will give anyone that is using the printer access to the new sized paper.

 Open the Printers main screen (from Control Panel) and then file/server properties.
 Tick the æCreate a New FormÆ box.
 Add a form description (i.e. name) that will make sense to all that will use the report.
 Set up the paper as required
 Save the form by pressing ôSave formö


1. Go to Control Panel | Printers and highlight the printer Change properties in device settings to point to the correct paper.

3. Highlight the printer again, Right click and choose Document Defaults (only if the printer is unique to the report using this paper size) Make sure that the Print quality is set to Draft and the paper size is correct


4. Within Crystal if you are developing the report set the printer up as follows:

 Press æChangeÆ
 Change the printer to the desired printer
 Next press the Properties button to change the properties of the printer (These properties may already be set correctly)
 Make sure that the Paper Quality is set to DRAFT and the resolution is 120 x 144.


W95 MACHINE

On a Windows 95 machine the set-up is the same except for the Paper set-up
When choosing the paper set-up Windows 95 allows you to set up a Custom Page size û this is where the Crystal Continuous Stationery paper size needs to be set-up.


If the Printer is networked on an NT machine, remember to set up the Crystal Continuous paper size in the File / Server properties on that machine. This will then allow all machines that are using the printer to have access to that paper size.

Troubleshooting

 If you have set the paper up in the Server Properties and saved it, but cannot ôseeö the paper in the printer properties this is due to the fact that the printer cannot support paper of that width. The best thing to do in this case is to reduce the width of the paper very slightly (10+ of an inch) and resave the form and then see if the form appears in the properties. If not û check that the printer IS wide enough and then keep reducing the paper size slightly until the properties accept it.
This shouldnÆt make a difference to the way that the report prints out û or looks on screen.

 If the printer is going to be used for more than one type of document, donÆt set the Document Defaults to the paper size, as it will prevent all the other printouts from being correct. Instead, before the report is run (through Crystal), the paper size must be chosen before printing the report. Do this as per point 4 above.

 If a report needs to be changed û it is important that within Crystal the printer is set to the Correct printer. This is because the Crystal report is driver dependent and if the report is changed with the printer set to an HP LaserJet (for example) then the report will no longer be formatted for the Dot Matrix printer and will therefore not print correctly. If you change a report and forget to set the printer to the original printer used to develop the report, you will need to change the printer and re-save the report using a different name.
If a customer changes his own report they will also need to make sure that the printer within Crystal is set to the printer that they will be using to print the report.

 Remember that if the printer is on a Server, the form will need to be set up on the Server machine. If it is not on a server then the paper size will need to be set up on whichever machine the printer is plugged into. If the paper selection is greyed out in the printer properties then it is a good indication that the printer is on a server.
