Hello guys,

I know this has been discussed before, but I just can't find all the steps to make it work. I'm sure a well written answer could make a great FAQ.

I have a ACS R7 with Partner Messaging 7 and a 4 port card. The system has four incoming lines and 18 extensions (16 of which are active with phones).

Extensions 10,11,12,13 ring on any incoming call (3 rings) then the call goes to Auto attendant 1 who gives three options: 1 for sales ringing 10,11,12 2 for customer service ringing ex 12 and 3 for accounting ringing ex 10 only.

We only have three employees, so the other phones are mostly unused.

Currently any unanswered call (once directed through the auto attendant) will be dropped due to "transfer unavailable"

I would like to have a mailbox for each of the call groups.

Can someone provide a step by step? Extensions 10,11,12,13 also have normal voicemail.

Cheers,
Jordan

The manuals wont tell you this stuff, and it has been posted before, although I haven't added it to my archive list.

First, the VM manual will tell you to set the transfer return extension for each VM port to Ext. 10. You must undo this, in #306, for each VM port, set them to themselves.

Next, put your extensions into calling groups, with #502, so that you can transfer to the group (71, 72, 73, or 74) and ring the extensions simultaneously.

Now make a mailbox, "with a phone" for the calling group to receive the messages when no one in the group answers.

If you have trouble getting someone to check the oddball mailboxes, give them a phantom destination. You could make it one of the group member's personal mailboxes, but either they would be responsible for checking it, or they'd have to share their password with others so the others could also check.

OR, if you don't use General Mailboxes 9992, 9993, or 9994, use one of those as the phantom destination, and make a group member the owner of the Message Waiting light, but it doesn't interfere with their own personal mailbox.

Tommy,

I have done the following so far:
#306 as described
#502 as described

I am not really understanding the association with 71,72,73,74 though. I have 3 calling groups programed, 1,2,3

As for setting up the mailboxes, all of the calling groups can go to an individual's mailbox. I am unsure how I assign the calling group to these mail boxes though.

Thanks for your help!

Jordan

Calling Group 1 is Ext. 71, Calling Group 2 is 72, etc.

So, from the Auto Attendant, you either say 'for sales, enter ext. 71", or use a selector code to transfer to ext. 71. "For sales, press 4", and 4 transfers to 71.

Next, you make mailbox 71 in the Partner Messaging. When it says 'If there is a phone associated with mailbox 71, press 9", go ahead and press 9. Then, listen to the other options, 8 or 9 will be phantom destination. Set that to whomever is going to receive the messsges. Log into mailbox 71 and record and activate a greeting "All sales associates are busy, please leave a message, or press 0 for the Operator". Callers hear that greeting, but their incoming message goes into the phantom destination that you set above.
