Archive All Notes Emails? 2

Hi,

My company is due to undergo an Operating System upgrade in the early part of next year which will include changing our email client from Lotus Notes to Outlook 2003.

We have been told we need to get our mail files down to 75MB. Mine is currently sitting at 1424MB (oh dear!).

To trawl through all my emails and remove attachments & decide what I need to keep/delete is going to take an absolute age so what I'd like to do is archive them all onto DVD. Ideally I'd like to preserve as much of the formatting as possible and all file attachments.

Is there any easy way of doing this? Or even a difficult way?

Any help would be very much appreciated!

The easy way would be to make a local replica and index it (shift-F9), then burn that to DVD.
Ensure that you have set Encryption to whatever level is acceptable to you, and that you set the ACL to Enforce Across Replicas to ensure a modicum of security.

Thanks for the suggestion.

My problem is that I'm not sure how I would then open the resultant Notes database file once we have moved to Outlook. Does Outlook allow you to open Notes archive databases? Will this preserve all the file attachments.

A notes db can be opened by a Notes client, or through ODBC with Access.
What you seek is to take the emails out of Notes, then. That can be done with a third-party extraction tool. You should be able to find one with Google, or maybe Lotus has a tool for doing that in the Sandbox.

Long answer would be to install Domino (with existing IDs), Notes and Exchange (evals?) on a spare computer. Create an account on Exchange. Run the Exchange migration wizard. Bring over all mail. Run Outlook and create a local copy of all mail from the exchange system. Basically similar to the process that will be happening for real at your site.

You would think that your email admin(s) could allow the mail across initially and then have people create local archives. They could then impose restrictions after a transitional period. Maybe propose as much? or maybe they could use a copy of your mailbox as their trial when migrating. That way you could get the mails out via Outlook before they go live?
